AppIT business process integration

Business Process Integration

OptiDoc™ AppIT is a zero impact universal integration tool for the Microsoft Windows operating system. From the end user perspective, AppIT is a hidden background process. AppIT makes use of software fingerprinting technology that recognizes external applications, windows, dialog boxes, and any other desktop element that may require end user interaction.

Because your business is growing quickly, time pressure causes overly complex processes and workflows to become established. Information and process from one department are often isolated from other departments and workflows. Communication is limited, duplication of effort is unavoidable, and the expense of systems integrators is not in your budget. As a busy IT professional, what can you do?

OptiDoc™ has the answer. By adding document imaging as a central core, each business process can be streamlined with OptiDoc™ AppIT technology. Our professional services typically analyze and tackle one process at a time. As each business process is integrated through the centralized document management system efficiency and collaboration grow. As processes are streamlined additional communications between processes is easy to establish. Previously isolated systems are now connected in an orderly and easy to understand fashion. Your business is no longer constrained by inefficient complex, or redundant processes. Employees do not need to retrained. Implementation is non-invasive and incremental. You are free to choose the best applications for your requirements without the hassle and expense of specialized systems integrators.

Technical Overview

Menu controls, button controls, and integration events are automatically projected into the target application program when the background process of software fingerprinting recognizes the environment.

AppIT provides universal integration with any third party application. This is achieved without modifications or code changes to the 3rd party application. We call this feature zero impact because there is no impact on the targeted applications.

Third party applications automatically become image enabled because the OptiDoc™ document management system (DMS) is the central core.

Previously independent business processes are easily linked using OptiDoc™ as the bridge. New connections between isolated divisions and business processes leverage your investment in document imaging technology.

AppIT lets you introduce new software applications and workflows, or get rid of old software and old workflows without the hassle or expense of customization. Since AppIT can interface with any application, your choices are not restricted to those that can be customized.

Integration and event categories

Searching

AppIT captures search information from 3rd party application screens, and uses this information to search for documents. The key benefit of this feature is to save time and increase accuracy when retrieving documents. The end user never has to leave the comfort of his application, and document imaging is part of his workflow.

Indexing

AppIT captures indexing information from a 3rd party application, and uses this information to populate index fields in the database. Electronic documents or scanned documents are easily attached. This feature eliminates typing errors and dramatically reduces keystrokes.

Bar-Coding

AppIT captures indexing information from a 3rd party application, and uses this information to create a two dimensional PDF 417 barcode coversheet. This coversheet serves as a document delimiter and as a form header for recognition and attached paperwork. Attaching this coversheet to a scan batch eliminates typing and organizes workflow.

Monitoring

Electronic documents saved from 3rd pary applications are recognized and sent to the OptiDoc™ DMS. A network or local folder is monitored. This folder automatically reacts when a document is saved into the folder. This action happens in real time and helps the end user move quickly through his workflow.

Hot-Keys

Events are triggered into operation when the end user presses a hot key. Any key, such as the function keys, can be assigned to trigger integration events. In addition, integration events can be cascaded, so that one event causes another event to occur.

Menu Controls

Events are triggered into operation when the end user chooses a menu from a drop down list. When the background software discovers a configured environment a drop down menu or button will appear inside the application window. These controls can fire hot keys, or other automation events.
